Planning a building project

What to establish before comparing building quotations

Building work underway at a home

Give each builder the same project information

Provide the same drawings, finish selections and written description of the work to each builder. If the scope changes between quotations, the prices may describe different projects and become difficult to compare.

Where plans or details are still being developed, note that clearly and ask which assumptions the quotation depends on.

Compare inclusions and exclusions

Check the work, materials, finishes, preparation, removal of waste and handover tasks described in each quotation. Look for items marked as excluded, provisional, estimated or to be confirmed, and ask what each allowance covers.

The lowest total may reflect a narrower scope or more unresolved items. Ask for clarification in writing instead of assuming that an item is included.

Clarify timing, payment and changes

Ask how the proposed sequence and timing are affected by access, approvals, material availability and decisions that are still outstanding. Make sure the payment milestones and any deposit are set out in the written agreement.

Agree how variations will be described, priced and approved before the additional work begins. For contract or legal advice, consult an appropriately qualified professional; this checklist is general planning information.

Make a like-for-like comparison

Put each quotation beside the same scope and note the open questions, allowances, exclusions and proposed timing. Ask each builder to confirm the same key points in writing before making a decision.
